Yes. AI translation is good enough for everyday business writing in major languages, though anything legal, medical or public facing should still get a review from a fluent speaker. For most people we recommend DeepL, which starts at €7.49 a month billed yearly and adds document translation, glossaries and a promise not to train on your text. If you only translate now and then, Google Translate is free and covers 249 languages and varieties.

DeepL: our pick
Best for most businesses that translate emails, documents and customer messages every week.
DeepL is a translation tool first, not a general chatbot, and its paid plans are built around the jobs a small business actually has: translating text, whole files, and web pages while keeping your terms consistent. The Individual plan includes 300,000 characters a month, three file translations a month up to 30 MB each, full page translation, a glossary and 30 minutes of DeepL Voice DeepL pricing ↗. The Team plan raises that to 1,000,000 characters per user, 20 files a month, five glossaries with 1,000 entries per language pair, shared style rules and team admin tools DeepL pricing ↗.
Quality is the main reason people pay. DeepL says expert blind testers preferred its next generation model 1.3 times more often than Google Translate, 1.7 times more often than ChatGPT 4 and 2.3 times more often than Microsoft DeepL blog ↗. That is the company's own test, last updated in July 2024, so treat it as a claim rather than an independent result. A newer independent blind study by Lokalise found large language models beat traditional engines including DeepL for English into German, Polish and Russian Lokalise study ↗, so the gap between DeepL and the best chatbots is not settled.
The privacy terms are a strong point for business use. DeepL says Pro text is never used to train its AI models, is stored only as long as technically needed, and that Pro plans are ISO 27001 and SOC 2 Type II certified DeepL pricing ↗. It works in Chrome, Firefox and Edge, including inside Gmail and Google Docs, and links to Microsoft Word, Microsoft 365 and Google Workspace integrations DeepL pricing ↗. DeepL lists 114 languages in its help center, including Spanish, Chinese, Vietnamese, Tagalog, Hindi, Arabic and Haitian Creole DeepL languages ↗. Hands on testing is in progress; we will update this guide with results.
Why we like DeepL
- Built for documents, with formatting kept on upload
- Glossaries and style rules keep your terms consistent
- Pro text is not used to train its models
- Works inside Gmail, Google Docs and Microsoft Word
- 30 day free trial on Individual and Team plans
Where DeepL falls short
- Prices shown on its site in euros; US price may differ
- Only three file translations a month on Individual
- Fewer languages than Google Translate
- Quality claims come mostly from DeepL's own tests
ChatGPT: budget pick
Best if you want one cheap AI tool that translates and also adapts tone, rewrites and explains.
General chatbots have become very good translators. In Lokalise's blind study, native speakers compared translations in more than 600 pairs per language and preferred the large language models, Claude Sonnet 3.5 and GPT 4o, over DeepL, Google Translate and Microsoft Translator in every language pair tested Lokalise study ↗. The best model was rated good 78 percent of the time Lokalise study ↗. The advantage of a chatbot is that you can ask for a tone: a friendly reply to a review, a formal letter, or a menu that sounds natural rather than literal.
ChatGPT has a free plan, and ChatGPT Go costs $8 a month in the US OpenAI ↗. OpenAI says Go gives 10 times more messages, file uploads and image creation than the free tier, plus longer memory and a larger context window OpenAI ↗. That makes it a low cost way to translate files and long emails, and you get a writing and research assistant for the same price.
The trade off is control. A chatbot has no translation glossary or formatted document output like DeepL, and it can rephrase or drop details if you don't ask it to stay literal. OpenAI's pricing page also notes the Go plan may include ads ChatGPT pricing ↗. Always paste the original and ask for a faithful translation, then spot check names, numbers and dates.
Why we like ChatGPT
- Free plan, and Go is $8/month in the US
- Can match a tone or rewrite for a local audience
- Language models won independent blind tests
- Also handles writing, research and summaries
Where ChatGPT falls short
- No glossary or formatted file output
- Can change meaning if not told to stay literal
- Go plan may include ads
Google Translate: best free option
Best for quick, free translations in the widest range of languages, including by camera and voice.
Google Translate is free to use and supports 249 languages and language varieties as of September 2026, though quality varies by language Wikipedia ↗. That matters if your customers speak a less common language.
It does more than text. You can point your camera at a sign or label, hold a two way conversation, download languages for offline use, translate whole web pages by URL, and handwrite characters your keyboard does not support Google Translate ↗. On desktop it translates .docx, .pdf, .pptx and .xlsx files up to 10 MB, and PDFs up to 300 pages, but text inside images and scanned pages is not translated Google Translate Help ↗.
There are real limits on quality. Wikipedia's summary of independent criticism notes it struggles with idioms and words with several meanings, can invent translations for unknown words, and is weaker on long or literary sentences Wikipedia ↗. Use it for understanding and quick replies, and use DeepL or a fluent reviewer for anything customers will read.
Why we like Google Translate
- Completely free to use
- 249 languages and varieties
- Camera, conversation and offline modes
- Translates Word, PDF, PowerPoint and Excel files
Where Google Translate falls short
- Quality varies a lot by language
- No glossary or tone control
- Files capped at 10 MB, images inside files not translated
Weglot: upgrade pick
Best for translating your whole website and keeping it translated as you add pages.
If you want customers to read your website in their language, a copy and paste tool is the wrong job. Weglot detects your site's text, translates it automatically, and keeps new pages translated. Its feature list includes multilingual SEO, so translated pages can be indexed in search, plus a glossary, editing control and media translation Weglot pricing ↗. It connects to WordPress, WooCommerce, Shopify, Squarespace, Wix, Webflow, BigCommerce, Square Online and many other platforms, or any site through a JavaScript snippet Weglot integrations ↗.
Pricing is based on translated words and languages. The free plan covers 2,000 words in one language Weglot pricing ↗. Starter is $17 a month for 10,000 words and one language, Business is $32 a month for 50,000 words, three languages and access to professional translators, and Pro is $87 a month for 200,000 words, five languages, translated URLs and statistics Weglot pricing ↗. Yearly billing gives two months free, paid plans have a 14 day free trial, and Weglot notes its USD prices are estimates based on the euro rate Weglot pricing ↗.
The catch is that word counts add up fast: every page, button and product description counts, multiplied by each language. If you pass your limit, translation stops unless you turn on automatic upgrades Weglot pricing ↗. Count your site's words before choosing a plan.
Why we like Weglot
- Translates and updates your whole website automatically
- Multilingual SEO built in
- Works with WordPress, Shopify, Wix, Squarespace and more
- Professional translators available from Business plan
Where Weglot falls short
- Word limits multiply with each language
- Translation stops at the limit unless you auto upgrade
- Translated URLs only from the $87 Pro plan
HeyGen: also great
Best for translating videos so you speak the new language in your own voice.
HeyGen's video translator turns the speech in a video into another language, with a clone of the speaker's voice, lip sync and subtitles HeyGen pricing ↗. That is useful for a welcome video, a product demo or a social clip you want in Spanish or Portuguese without reshooting.
The free plan includes 3 videos a month up to 1 minute each in 30+ languages HeyGen pricing ↗. Creator costs $29 a month, or $24 a month billed yearly, and allows translated videos up to 30 minutes in 175+ languages HeyGen pricing ↗. Script editing and proofreading before the final video are listed on Pro, which starts at $49 a month HeyGen pricing ↗.
Why we like HeyGen
- Keeps your own voice in the new language
- Lip sync makes dubbed video look natural
- Free plan to try it
Where HeyGen falls short
- Free plan limited to 1 minute videos
- Script proofreading only on higher plans
- You still need a fluent speaker to check the result

Who this is for
This guide is for small business owners and teams who need to work across languages without hiring a translator for every message: a shop answering customers in Spanish, a store selling into new countries, or a manager writing instructions for staff.
If you translate a few sentences a week, a free tool is enough. If you translate documents, contracts or customer emails every day, a paid tool saves time and keeps your wording consistent. If you want a whole website or your videos in another language, you need a tool built for that job, which is why we include Weglot and HeyGen.
This guide is not about certified translation. Court documents, immigration papers and some medical and legal records need a human translator who can certify the work. AI can help you prepare a draft, but it cannot replace that signature.
Why you should trust us
We research AI tools for small businesses the way a careful buyer would. For this guide we read each vendor's pricing, plan and help pages, checked independent comparisons of translation quality, and noted where a quality claim comes from the vendor itself. Every price and limit in this guide links to the page where we found it, and we checked all of them on October 9, 2026.
We have not yet tested these tools hands on. Hands on testing is in progress, and we will update this guide with our own results. Until then, we lean on independent studies such as Lokalise's blind comparison, which used native speakers and more than 600 comparisons per language pair Lokalise study ↗, and we flag vendor run tests, such as DeepL's own blind test DeepL blog ↗, as claims.
We choose picks on merit only. No company paid to be included, and our recommendations do not depend on any affiliate program.
How we picked
We started with the tools small businesses actually use to translate: dedicated translators like DeepL, Google Translate and Microsoft Translator, general chatbots like ChatGPT and Claude, website translation tools like Weglot, video translation tools like HeyGen and ElevenLabs, and team platforms like Smartcat. Then we narrowed the list with the criteria below.
- Translation quality, based on independent blind studies where they exist, not only vendor claims
- Language coverage, especially the languages US small businesses deal with most, such as Spanish, Chinese, Vietnamese, Tagalog and Haitian Creole
- Document support: which file types it handles and whether formatting survives
- Consistency tools such as glossaries and style rules, so your product names and terms stay the same
- Privacy: whether your text is used to train models and how long it is stored
- Price for a one to five person business, and how generous the free plan is
- Fit for the job: text, documents, websites or video
What AI translation can and can't do today
AI translation is now good enough for most everyday business text in major languages. In Lokalise's blind study, the best large language model's translations were rated good 78 percent of the time, and quality was clearly lower for Russian than for German and Polish Lokalise study ↗. That tells you two things: the results are usable, and they are not perfect, and the language matters.
AI does well with emails, product descriptions, policies, menus, simple contracts and support replies, and tools like DeepL let you lock in how specific terms are translated with a glossary DeepL pricing ↗.
It still struggles with idioms, words that have several meanings, very long sentences, slang and creative writing Wikipedia ↗. It may also invent a translation for a word it does not know Wikipedia ↗. Names, prices, dates, dosages and legal terms are the places a small error can cost you money or trust.
Voice and video translation is improving quickly. HeyGen translates a video into another language with your cloned voice and lip sync HeyGen pricing ↗, and ElevenLabs dubs content across 90+ languages and accents while keeping the original speaker's voice ElevenLabs dubbing ↗. Treat these as drafts that a fluent speaker should watch before you publish.
Before you sign up
Decide what you are translating most. If it is text and files, start with DeepL or ChatGPT. If it is your website, start with Weglot's free plan and count your words. If it is video, try HeyGen's free plan with a short clip.
Check privacy before you paste anything sensitive. DeepL says Pro text is not used for training DeepL pricing ↗, but free tools and consumer chatbot plans may have different terms. Do not paste customer health records, card numbers or passwords into any translation tool.
- Use free trials: DeepL Individual and Team have 30 days DeepL pricing ↗, Weglot paid plans have 14 days Weglot pricing ↗
- Build a glossary of your product names, services and terms before you translate in bulk
- Have a fluent speaker review anything public, legal or medical before it goes out
- For websites, multiply your word count by the number of languages to estimate your plan
- Ask a chatbot for a faithful translation, then check names, numbers and dates by hand
What to look forward to
Translation is moving from typed text to live speech. DeepL already offers real time voice translation for meetings in Microsoft Teams, Zoom and Google Meet, and face to face conversation translation on iOS, Android and the web in 40+ languages DeepL Voice ↗. Google Translate offers a conversation mode and offline languages on phones Google Translate ↗.
Language coverage is also growing. Google added 110 languages in 2024 using its PaLM 2 model, bringing it to 249 languages and varieties by 2026 Wikipedia ↗. Expect smaller languages to keep improving, and expect more tools to let you set a tone and a glossary in one place. We will update this guide as tools change and when our hands on testing is complete.
The competition
Microsoft TranslatorNot stated
Microsoft Translator offers mobile apps, real time conversation translation, offline translation of menus and signs, and an Outlook add in Microsoft Translator ↗. It is a fine choice if you live in Outlook, but in Lokalise's blind study it was one of the traditional engines that trailed the large language models Lokalise study ↗, and DeepL's own test claims a wider lead over it DeepL blog ↗.
ClaudeFree; Pro starts at $20/month ($17 billed yearly)
Claude Sonnet 3.5 was one of the two language models that beat traditional engines in Lokalise's blind study Lokalise study ↗, and Claude has a free plan with Pro at $20 a month or $17 billed yearly Claude pricing ↗. It is a strong alternative to ChatGPT for careful translation, but ChatGPT Go is cheaper at $8 a month OpenAI ↗.
SmartcatStarts at $1,200/year
Smartcat combines AI translation, translation memory and a marketplace of more than 500,000 human experts, and supports 280+ languages Smartcat pricing ↗. It is built for companies with steady, large volumes: plans start at $1,200 a year, and human reviewers are included only from the $24,000 a year plan Smartcat pricing ↗.
ElevenLabsStarts at $6/month
ElevenLabs dubs video and audio across 90+ languages and accents with a clone of the original voice ElevenLabs dubbing ↗. It is excellent for audio and podcasts, but the free plan includes only 0.4 minutes of dubbing and Starter includes 2 minutes for $6 a month ElevenLabs dubbing ↗, so HeyGen's lip sync makes more sense for talking head video.
Questions people ask
What is the most accurate AI translation tool?
There is no single winner for every language. Lokalise's independent blind study found large language models such as Claude Sonnet 3.5 and GPT 4o beat DeepL, Google Translate and Microsoft Translator for English into German, Polish and Russian Lokalise study ↗. DeepL's own blind test says experts preferred DeepL over Google, ChatGPT 4 and Microsoft DeepL blog ↗. For most businesses, DeepL or ChatGPT will be accurate enough, with a human check on important text.
Is DeepL better than Google Translate?
DeepL is the better fit for business documents, while Google Translate covers far more languages for free. DeepL says expert testers preferred its translations 1.3 times more often than Google Translate's, though that is its own test DeepL blog ↗, and it adds glossaries, formatted file translation and a no training promise on Pro plans DeepL pricing ↗. Google Translate is free and supports 249 languages and varieties versus 114 for DeepL Wikipedia ↗ DeepL languages ↗.
Is there a free AI translation tool?
Yes, Google Translate is free and translates text, web pages, camera images, conversations and documents up to 10 MB Google Translate ↗ Google Translate Help ↗ Wikipedia ↗. DeepL's free version allows 50,000 characters a month and one file translation a month DeepL pricing ↗, and ChatGPT has a free plan with lower limits than its paid plans OpenAI ↗. For websites, Weglot's free plan translates 2,000 words into one language Weglot pricing ↗.
Can ChatGPT translate documents?
Yes. You can upload a file and ask for a translation, and ChatGPT Go gives 10 times more file uploads than the free tier for $8 a month in the US OpenAI ↗. It will not keep the original layout the way DeepL's file translation does, so it is better for reading and rewriting than for producing a finished formatted file.
How do I translate my small business website?
Use a website translation tool such as Weglot, which works with WordPress, Shopify, Wix, Squarespace and many other platforms Weglot integrations ↗. Its free plan covers 2,000 words in one language, and paid plans start at $17 a month for 10,000 words Weglot pricing ↗. Word limits multiply with each language, and translation stops at the limit unless you turn on automatic upgrades Weglot pricing ↗. Have a fluent speaker review your main pages.
Is AI translation safe for confidential documents?
