THE SHORT ANSWERIn use

Yes, AI can now handle most of the back and forth of scheduling and can plan your week around your meetings, though you still need to set rules and check its work at first. For most small business owners we recommend Reclaim: it has a free plan, paid plans start at $10 per seat a month billed yearly, and it combines booking links with automatic focus time, habits and task scheduling on Google or Outlook calendars.

Mature, self serve tools with free plans already book meetings and block time on Google and Outlook calendars, and the main risk is a messy calendar if you skip the setup.

Reclaim

Best for owners and small teams who want meetings booked and work time protected on one calendar.

Reclaim sits on top of the Google or Outlook calendar you already use and fills the gaps around your meetings with the things that usually get squeezed out: focus time, recurring habits like a lunch break or a weekly bookkeeping hour, tasks from your to do list, and buffer time for travel or prep Reclaim features ↗. It also includes scheduling links and Smart Meetings, so it covers the booking job that people often buy Calendly for Reclaim features ↗. You can chat with its AI assistant to change your schedule in plain language Reclaim features ↗. It connects to Slack, Zoom, Asana, ClickUp, Jira, Linear, Todoist and Google Tasks Reclaim features ↗.

The pricing is friendly for a small business. The Lite plan is free for one user and includes one scheduling link, one calendar sync and a one week scheduling range Reclaim pricing ↗. Starter costs $10 per seat a month billed yearly, or $12 monthly, for up to 10 seats, with three scheduling links, three calendar syncs, an eight week range and unlimited integrations Reclaim pricing ↗. Business is $15 per seat a month billed yearly, or $18 monthly, and adds unlimited links and syncs, a team out of office calendar and delegated access for an assistant Reclaim pricing ↗. New users get a 14 day Business trial, and the free plan needs no credit card Reclaim features ↗. Reclaim lists SOC 2 Type II certification and says it does not train AI on your data Reclaim features ↗.

Independent feedback is mixed, and the complaints are worth reading before you turn on every feature. On Trustpilot, Reclaim scores 2.2 out of 5 from only 23 reviews; happy users credit it with better productivity, while unhappy ones describe hundreds of focus time and lunch events appearing without warning, events that stayed after they deleted their account, and a free plan that was cut back Trustpilot, Reclaim ↗. Zapier's 2026 roundup of AI scheduling assistants lists Reclaim first, praising how it protects personal habits and manages recurring events Zapier roundup ↗. Our advice: start with one or two habits and a single scheduling link, then add more. Hands on testing is in progress; we will update this guide with results.

Why we like it

  • Free plan with a scheduling link, no credit card
  • Books meetings and protects focus time in one tool
  • Works with Google and Outlook calendars
  • Paid plans from $10 per seat a month billed yearly
  • SOC 2 Type II, and says it does not train AI on your data

Flaws but not dealbreakers

  • Can flood your calendar with events if you turn everything on at once
  • Free plan only plans one week ahead
  • Small number of independent reviews, many negative
  • Users report events left behind after removing it
Best free optionFree for 1 user; Teams starts at $12/user/month billed yearly

Cal.com

Best for solo owners who just want clients to book a time, for free, with no limits on event types.

If your main problem is the email back and forth with clients, you may not need an AI planner at all. Cal.com's free plan is unusually generous: one user gets unlimited event types and calendars, email and SMS notifications, a mobile app and browser extension, and can take payments through Stripe and PayPal Cal.com pricing ↗. It even includes two way sync with Salesforce and HubSpot and a one click import from Calendly Cal.com pricing ↗. It connects to Google Calendar, Outlook, Apple Calendar and Zoho Calendar, plus Zoom, Google Meet and Microsoft Teams Cal.com pricing ↗.

When you add staff, the Teams plan costs $12 per user a month billed yearly and adds round robin scheduling, shared team availability, routing forms, booking analytics and removal of Cal.com branding, with a 14 day trial Cal.com pricing ↗. The Organizations plan, at $28 per user a month billed yearly, adds HIPAA and SOC 2 compliance, which matters for clinics Cal.com pricing ↗.

The limit is that Cal.com is a booking tool first. It does not plan your tasks or defend focus time the way Reclaim does. Its AI product, Cal.ai, is described as AI powered scheduling calls and a phone agent, but the pricing page does not say what it costs or which plans include it Cal.com pricing ↗.

Why we like it

  • Free forever for one user with unlimited event types
  • Takes Stripe and PayPal payments on the free plan
  • Imports from Calendly in one click
  • HIPAA compliance available on the Organizations plan

Flaws but not dealbreakers

  • Does not plan tasks or protect focus time
  • Monthly billing prices are not shown on the pricing page
  • Cal.ai pricing is not published
Upgrade pickStarts at $19/seat/month billed monthly

Motion

Best for owners who want one app to run projects, tasks and the calendar together.

Motion goes further than a scheduling assistant. It time blocks your projects and tasks on the calendar and reshuffles the plan as things change, which the company says happens dozens of times a day Motion features ↗. It also creates booking pages that offer times meant to protect your focus time, and it includes an AI notetaker that records notes, summaries and action items and can send follow up emails Motion features ↗. It combines Outlook, Google and iCloud calendars in one view Motion features ↗.

That breadth costs more. The Pro AI plan is $19 per seat a month on monthly billing and includes AI chat, AI projects and tasks, the AI calendar, AI docs and notes, a task planner, an AI writer and apps for iOS, Android and desktop, with 7,500 AI credits per seat each month Motion pricing ↗. Business AI is $29 per seat a month and adds team capacity planning, dashboards, Gantt charts, time tracking and permissions, with 15,000 credits per seat Motion pricing ↗. Motion says yearly billing saves 33 percent, and it offers a free trial, though the page does not state the length Motion pricing ↗.

Pick Motion only if you will actually move your project and task management into it. If you mostly need meetings booked and a few hours protected, Reclaim does that for less. Motion's pricing page also does not name its integrations, so check that your other tools connect before you commit Motion pricing ↗.

Why we like it

  • Plans tasks and projects around your meetings automatically
  • Booking pages and an AI notetaker included
  • Combines Google, Outlook and iCloud calendars
  • Mobile and desktop apps

Flaws but not dealbreakers

  • No free plan
  • Costs more than a scheduling only tool
  • Integrations are not named on the pricing page
  • AI use is metered in credits
Also greatFree plan; Standard starts at $10/seat/month billed yearly

Calendly

Best for client facing businesses that want the booking page everyone already knows, plus an AI email scheduler.

Calendly is still the standard booking link, and many of your clients will already have used one. The free plan gives you one event type and one calendar connection Calendly pricing ↗. Standard is $10 per seat a month on yearly billing and adds unlimited event types, up to six calendars, reminders and automations, and payments through Stripe and PayPal Calendly pricing ↗. Teams is $16 per seat a month and adds round robin scheduling and lead routing Calendly pricing ↗. It connects to HubSpot, Mailchimp, Salesforce, Zapier, Zoom, Google Meet and Microsoft Teams Calendly pricing ↗.

Its newer AI assistant, Callie, is the reason it appears in this guide. You copy [email protected] on an email thread and ask it to find a time; it checks your calendar, replies with options, adjusts details after checking with you, and books the meeting Calendly Callie ↗. Callie is in beta and works only in English Calendly Callie ↗ Calendly pricing ↗. The pricing page lists Callie and a meeting notetaker as part of Standard Plus and Teams Plus add ons, but does not show their price Calendly pricing ↗.

On Trustpilot, Calendly scores 4.0 out of 5 from 689 reviews; users praise how easy it is and its human support, while complaints focus on AI first support chat and slow fixes for technical problems Trustpilot, Calendly ↗.

Why we like it

  • Familiar to clients and easy to set up
  • AI email scheduling with Callie
  • Wide range of CRM and marketing integrations
  • Large base of user reviews

Flaws but not dealbreakers

  • Free plan allows only one event type
  • Does not plan your tasks or focus time
  • Callie add on price not published

Who this is for

This guide is for owners and small teams whose calendar runs their day. Maybe you lose twenty minutes an afternoon trading emails to find a meeting time. Maybe the admin work you planned for Tuesday morning disappears every week because someone books over it. Or maybe you are the person who keeps the whole team's calendar straight.

There are two kinds of AI scheduling help, and it is worth knowing which one you need. The first is a booking tool: clients or colleagues pick a time from a link, or an AI replies to an email thread with times that work. The second is an AI calendar planner: it looks at your meetings, your tasks and your habits, and fills in the rest of the week for you, then moves things when the day changes. Some tools, like our pick, do both.

If you only take a handful of bookings a week, the free booking page in Google Calendar or a free plan from Cal.com or Calendly may be all you need. The paid AI planners make sense once your calendar is busy enough that protecting time for real work becomes the hard part.

Why you should trust us

We are open about how this guide was made. We read every vendor's pricing and feature pages and checked each price on October 9, 2026. We read user reviews on Trustpilot and an independent 2026 roundup of AI scheduling assistants from Zapier Zapier roundup ↗. Every fact in this guide links to the page it came from, so you can check it yourself.

We have not yet tested these tools hands on. Hands on testing is in progress, and we will update this guide with results, including how well each one handles a messy real week, how often it moves things you did not want moved, and how easy it is to undo. No vendor paid for placement, and our picks were chosen on merit.

How we picked

We started with the tools that come up most often for this job, including AI calendar planners, booking link tools that have added AI, and email based assistants. We dropped tools that are shutting down, tools sold only through sales calls, and tools aimed mainly at large sales teams.

One well known option dropped out for a simple reason: Clockwise, an AI calendar popular with teams, announced it was joining Salesforce and that its product would stop working on March 27, 2026 Clockwise shutdown ↗. Its own shutdown page points former users to Reclaim Clockwise shutdown ↗.

For the rest, we asked what a small business with one to ten people would actually pay, and what it would get for that price.

  • Works with Google Calendar and Outlook, the two calendars most small businesses use
  • Lets clients or colleagues book time without emailing back and forth
  • Protects time for focused work, breaks and recurring routines
  • A free plan or a free trial you can use on your real calendar
  • Clear, published prices for one to ten users
  • Clear security statements and a way to undo what the AI did

What an AI scheduling assistant can and can't do today

It can do a lot of the routine work well. Booking tools let people choose from your open times and drop the meeting on your calendar, with reminders and payments if you want them Cal.com pricing ↗ Calendly pricing ↗. Email assistants like Calendly's Callie can join an email thread, offer times and book the meeting once everyone agrees Calendly Callie ↗. AI planners like Reclaim and Motion can place tasks, focus time and habits around your meetings and move them when something new comes up Reclaim features ↗ Motion features ↗.

It still needs you to set rules. The AI only knows your priorities if you tell it, and an over eager setup can fill your calendar with blocks you never asked for. Several Reclaim users on Trustpilot describe exactly that, plus events that remained after they removed the app Trustpilot, Reclaim ↗. Expect a week or two of tuning before it feels right.

It cannot read the room. It will not know that a client prefers mornings, that a meeting is more important than its title suggests, or that you need a quiet afternoon after a hard day. Keep anything sensitive as a fixed event the AI is not allowed to move.

Before you sign up

These tools need read and write access to your calendar, and some read your task lists and email threads. Check each vendor's security page. Reclaim, for example, lists SOC 2 Type II certification and says it does not train its AI on your data Reclaim features ↗. Cal.com offers HIPAA and SOC 2 compliance on its Organizations plan, which matters if appointment details include health information Cal.com pricing ↗.

Start small. Connect one calendar, set your working hours, and turn on one or two features. Watch what the tool does for a week before you let it manage your whole schedule.

  • Decide whether you need a booking page, a planner or both
  • Set working hours and no meeting times before you share any link
  • Mark important meetings as fixed so the AI cannot move them
  • Test on your real calendar during the free plan or trial
  • Check how to remove AI created events before you start
  • Read the cancellation and refund terms, especially for yearly plans

What to look forward to

The biggest change is that scheduling is moving into your inbox and chat. Instead of sending a link, you will copy an assistant on an email or type a request in plain language and let it handle the rest. Calendly's Callie and Reclaim's chat assistant are early examples Calendly Callie ↗ Reclaim features ↗, and independent roundups now include assistants that work through voice notes, texts and forwarded emails Zapier roundup ↗.

Expect booking tools and planners to keep merging, and expect AI phone agents to start booking appointments directly. Cal.com already describes Cal.ai as an AI phone agent for scheduling calls Cal.com pricing ↗. We will update this guide as these features leave beta and as our hands on testing finishes.

The competition

ClockwiseDiscontinued

Clockwise was a popular AI calendar for teams, but it announced it was joining Salesforce and that the product would stop working on March 27, 2026, with scheduling links shut off and user data deleted soon after Clockwise shutdown ↗. Do not sign up; its shutdown page recommends Reclaim instead Clockwise shutdown ↗.

AkiflowStarts at $19/month billed yearly ($34 monthly)

Akiflow combines a task inbox and calendar planning with an AI assistant called Aki, and connects to Google and Outlook calendars, Zapier and IFTTT Akiflow pricing ↗. There is no free plan, Pro costs $34 a month monthly or $19 a month billed yearly, the 7 day trial needs a card, and the AI meeting assistant is a $19 a month add on Akiflow pricing ↗.

SavvyCalStarts at $10/user/month; Premium $17/user/month

SavvyCal makes polished booking links with ranked availability, meeting polls and round robin scheduling, starting at $10 per user a month SavvyCal pricing ↗. It is a booking tool rather than an AI planner, and its pricing page does not list a free plan SavvyCal pricing ↗.

Google Calendar appointment schedulesFree with a Google account; some features need Workspace or Google One

Google Calendar's appointment schedules are free with a personal Google account and can take payments through Stripe Google appointment schedules ↗. Some features need a paid Google Workspace or Google One plan, and there is no AI planning, but it is a fine start if you only need a basic booking page Google appointment schedules ↗.
