THE SHORT ANSWERUsable

Yes, AI agents can now handle real multi step work such as research, lead follow up and inbox triage, but they still fail often enough that you must review what they do. For most small businesses we recommend starting with ChatGPT Plus at $20 a month, which now includes ChatGPT Work, OpenAI's agent for longer tasks across your apps and files. For recurring background jobs between your apps, Zapier Agents has a free plan with 400 activities a month.

Agents are useful for supervised, well defined tasks today, but independent research shows even the best ones complete only about a third of realistic office tasks on their own.

ChatGPT

Best for most small business owners who want one assistant that can research, draft and finish multi step tasks across their apps.

ChatGPT Work is OpenAI's agent inside ChatGPT, launched on July 10, 2026 TNW on ChatGPT Work ↗. It takes action across your apps and files, can work on a project for hours, produces finished spreadsheets, slides, documents and simple web apps, and can schedule recurring tasks TNW on ChatGPT Work ↗. You can follow its progress, answer its questions and approve important actions as it goes TNW on ChatGPT Work ↗. It replaced the earlier ChatGPT agent, which OpenAI's help center now lists as no longer available ChatGPT agent help ↗.

ChatGPT Plus costs $20 a month ChatGPT Plus help ↗. OpenAI's pricing page lists ChatGPT Work on Plus across desktop, web and mobile, along with apps that connect to your internal tools ChatGPT pricing ↗. The Free and Go plans get only limited Work in the desktop app, and no app connections ChatGPT pricing ↗. Because agent tasks run longer than a normal chat, usage is metered like OpenAI's Codex, so complex jobs use more of your plan's allowance TNW on ChatGPT Work ↗.

The safety model is sensible for a small business: you decide what the agent can access, when it checks in and when it needs approval before acting TNW on ChatGPT Work ↗. OpenAI says an extra review layer checks important actions before they run, though The Next Web notes OpenAI's red teaming results have not been independently verified TNW on ChatGPT Work ↗. Hands on testing is in progress; we will update this guide with results.

Why we like it

  • Works across your apps and files, not just in chat
  • Can schedule recurring tasks
  • Asks for approval before important actions
  • Most people already know how to use ChatGPT

Flaws but not dealbreakers

  • Usage is metered, and heavy tasks use up your allowance
  • Free and Go plans get only limited Work and no app connections
  • Newer product, launched July 2026
Best free optionFree (400 activities/month); Pro $400/year, about $33/month

Zapier Agents

Best for running small, repeatable jobs between your business apps in the background, starting free.

Zapier Agents connect to your business data and act across Zapier's catalog of apps, which Zapier puts at more than 9,000 Zapier Agents ↗. Its examples include qualifying new leads from form submissions, preparing attendee briefs before meetings, answering common support tickets and drafting support email replies from your knowledge base Zapier Agents ↗. Agents can only act in apps you have connected, using the triggers and actions you have set up Zapier pricing ↗, which keeps them inside limits you choose.

The free plan includes 400 activities a month, and the Pro plan costs $400 a year, about $33 a month, for 1,500 activities Zapier pricing ↗. Activities include actions the agent takes, web browsing and looking things up in knowledge you attach Zapier pricing ↗. Team accounts share one pool of activities Zapier pricing ↗.

Zapier's agents page does not describe an approval step before actions run; the closest features are an activity monitor and a chat option Zapier Agents ↗. Start with low risk jobs, such as drafting replies for a person to send, before you let an agent act on its own.

Why we like it

  • Free plan with 400 activities a month
  • Connects to thousands of business apps
  • Agents limited to the apps and actions you set up
  • Runs in the background on events such as new form entries

Flaws but not dealbreakers

  • No approval step described on the agents page
  • Activities can run out quickly on busy workflows
  • Setup takes some trial and error

Lindy

Best for busy owners who want an AI assistant living in their inbox, calendar and meetings.

Lindy is built as an AI assistant that works inside your email, drafting, scheduling and replying without you leaving your inbox Lindy ↗. It can sit in meetings so teammates can ask about them later, and you can message the same assistant from your phone through iMessage Lindy ↗. When a tool has no integration, Lindy can drive a web browser the way a person would, on Pro and higher plans Lindy pricing ↗ Lindy ↗. It connects to Gmail, Slack, Notion, HubSpot and more than 1,000 other tools, and supports MCP connections Lindy ↗.

Plus costs $29.99 per user a month for 3,000 credits, Pro costs $99.99 for 15,000 credits and adds computer use, and Max costs $199.99 for 35,000 credits Lindy pricing ↗. Everyday requests use 2 to 250 credits, and bigger jobs use more Lindy pricing ↗. New accounts get $50 in free credits for 7 days with no card Lindy pricing ↗. When credits run out, actions pause until the next cycle rather than adding a surprise bill Lindy pricing ↗.

Lindy says it is SOC 2 Type II, GDPR, HIPAA and PIPEDA compliant, and its Enterprise plan offers a signed BAA Lindy ↗, which matters if you handle health data. It costs more than ChatGPT Plus, so choose it if inbox and meeting work is where most of your time goes.

Why we like it

  • Works inside email, calendar and meetings
  • Browser control for tools with no integration (Pro and up)
  • Security claims include SOC 2 Type II and HIPAA
  • No surprise bills when credits run out

Flaws but not dealbreakers

  • Credit costs vary widely by task
  • Computer use needs the $99.99 Pro plan
  • More expensive than a general assistant

n8n

Best for businesses with a technical person who wants to build custom agents and keep data on their own server.

The cloud trial needs no credit card and includes 1,000 executions n8n pricing ↗. It is more technical than our other picks, so it suits a business with someone comfortable building workflows.

Why we like it

  • Human approval steps for AI actions
  • Self hosting keeps data on your own server
  • Pay per workflow run, not per step

Flaws but not dealbreakers

  • Needs technical skills to set up well
  • Fewer ready made integrations than Zapier
  • Prices in euros

Who this is for

This guide is for owners and managers of small businesses who are tired of repetitive computer work: copying leads from forms into a CRM, chasing follow ups, preparing for meetings, sorting the inbox or pulling numbers into a report. An AI agent is software that can plan and carry out several steps toward a goal, using your apps, rather than just answering a question.

If you only want help writing emails or brainstorming, a regular AI chatbot is enough. Agents make sense when a task has several steps, repeats often and touches more than one app.

Why you should trust us

We read each vendor's pricing page, plan comparison and product pages, and checked every price on October 9, 2026. To judge how reliable agents really are, we read independent research from Carnegie Mellon University and a forecast from the analyst firm Gartner TheAgentCompany study ↗ Gartner ↗. Every fact on this page links to its source.

We have not tested these tools hands on for this guide yet. Hands on testing is in progress, and we will add notes on real small business tasks when it is done. No vendor paid for placement, and we picked on merit.

How we picked

Many products now call themselves agents. Gartner warns about agent washing, where vendors rebrand chatbots and older automation tools as agents, and estimates that only about 130 of the thousands of agentic AI vendors are real Gartner ↗. We only considered tools that can take actions across apps, not just chat.

We then compared them on the criteria below, giving extra weight to control: an agent you cannot supervise is a risk to your business.

  • Can take real actions across email, files and business apps
  • Lets you limit what it can access and approve important actions
  • Clear pricing, with free plan or trial limits stated exactly
  • Usable by a non technical owner, or clearly labeled if not
  • Number and quality of app connections
  • Published security and privacy commitments

What AI agents can and can't do today

Agents do well on bounded, repeatable work with a clear finish line. Vendor examples include qualifying leads from form submissions, preparing meeting briefs and drafting support replies from a knowledge base Zapier Agents ↗, managing an inbox and scheduling calls Lindy ↗, and producing finished spreadsheets, slides and documents from a request TNW on ChatGPT Work ↗.

They are not reliable enough to run unattended on important work. In TheAgentCompany, a Carnegie Mellon led benchmark of 175 realistic office tasks in a simulated company, the best model tested fully completed only 30.3 percent of tasks, with a partial completion score of 39.3 percent TheAgentCompany study ↗. Agents have improved since, but no vendor we reviewed claims they never make mistakes, and OpenAI's own help center says its safety measures do not eliminate all risks ChatGPT agent help ↗.

Costs can also surprise you. Gartner predicts that over 40 percent of agentic AI projects will be canceled by the end of 2027 because of rising costs, unclear business value or weak risk controls Gartner ↗. Start small, measure the time you save, and expand only what works.

Before you sign up

Give an agent the least access it needs. Connect only the apps a task requires, and start with jobs where the agent drafts and a person approves. ChatGPT Work lets you decide when it needs approval TNW on ChatGPT Work ↗, and n8n supports human approval steps n8n ↗. Zapier limits agents to the apps and actions you set up Zapier pricing ↗.

Watch the meter. ChatGPT Work usage is metered by task complexity TNW on ChatGPT Work ↗, Zapier counts activities Zapier pricing ↗, Lindy counts credits Lindy pricing ↗ and n8n counts workflow runs n8n pricing ↗. Run a week of real tasks on a free plan or trial before committing.

  • Pick one repetitive task with a clear finish line to start
  • Connect only the apps that task needs
  • Require approval before the agent sends, pays, deletes or books anything
  • Check every output for the first few weeks
  • Do not give agents customer health, payment or legal data without a signed agreement and clear security terms
  • Track hours saved against what you pay each month

What to look forward to

General assistants are becoming agents. ChatGPT Work launched in July 2026 TNW on ChatGPT Work ↗, and Anthropic says Claude's Cowork features are rolling out to Pro and Max plans Claude pricing ↗. Expect your everyday AI assistant to take on more multi step tasks over the next year.

Agents are also getting better at working with apps that have no integration. Lindy can already drive a web browser like a person Lindy ↗. As accuracy improves, the main question will shift from whether an agent can do a task to how much you trust it to do so without checking. We will update this guide as the tools change and when our hands on testing is complete.

The competition

ClaudeFree; Pro starts at $20/month ($17 billed yearly)

Claude is a close alternative to ChatGPT. Pro costs $20 a month, or $17 billed yearly, and lets you hand off and schedule tasks, with Claude in Chrome and connectors included Claude pricing ↗. Anthropic says Cowork is still rolling out to Pro and Max, while the Team plan includes it Claude pricing ↗, so for now ChatGPT Work is more widely available on a single user plan.

Microsoft Copilot Studio$200 per 25,000 Copilot Credits/month

Copilot Studio builds agents that connect to more than 1,500 data connectors and can be published to Microsoft 365, websites and social channels Copilot Studio ↗. Credits cost $200 for a pack of 25,000 a month, and an Azure subscription is required Copilot Studio ↗. It makes sense if your business already runs on Microsoft 365 Copilot, where using published agents is included in the license Copilot Studio ↗, but it is more complex than our picks.

ZapierFree; Professional from $19.99/month

Classic Zapier automations, called Zaps, are still the cheapest way to move data between apps when you do not need AI judgment. The free plan includes 100 tasks a month, and Professional starts at $19.99 a month Zapier pricing ↗. Use Zaps for fixed rules and Zapier Agents for steps that need reading and deciding.
